Template notice: review with an attorney, especially for GDPR (EU/UK) and US state privacy laws, before accepting registrations worldwide.
1. What we collect
- Your record: name, date of birth, country, optional city, email, your choice (YES, NO or Not sure yet), conditions, personal note, typed signature and date.
- Family contacts: name, relationship, email and optional phone of up to three people you choose. Please tell them you listed them.
- Early-access list: your email, and optionally your first name, country, the answer you lean toward and the plan you would want. We use it only to email you when the registry opens and to understand demand. Unsubscribe any time with the link in the email or by contacting us.
- Payment: no payments are taken during early access. Once paid records open, Stripe processes payments. We receive confirmation of payment and your email, not your card number.
- Messages you send us, and basic technical logs kept by our hosting providers.
2. How we use it
Only to run the registry: store your record, issue your certificate, answer lookups as described below, send you a confirmation and private update links, send the yearly reminder if you chose Not sure yet and asked for reminders, process refunds, respond to you, and meet legal duties. Every reminder includes a one-click link to stop reminders and our mailing address. We do not sell, rent or trade personal information, and we do not use it for advertising profiles.
3. Who can see your record
- Lookup with Certificate ID: anyone who enters your exact full name, date of birth and Certificate ID can see your name, choice, conditions, personal note, record date and Certificate ID.
- Family contacts: a contact you listed can see the same information by entering your full name, date of birth and their own listed email address.
- Lookups never show your email, date of birth, city or your other contacts' details. Searches are rate-limited to prevent guessing.
- Optional public listing: only if you opt in, your name, country, year of registration and choice may appear in a public list. You can opt out any time.
- Service providers: our hosting, database (Google Workspace / Google Sheets), email and payment providers process data on our behalf under their own security commitments.
- Law: we may disclose information if required by law.
4. How we preserve and protect records
- The live registry is stored in an access-controlled database with two-step login.
- Automatic backups are kept in at least two separate locations.
- Once a year we create an archive snapshot of the registry, encrypt it, and store it with an independent storage provider. We publish the snapshot's digital fingerprint (a SHA-256 hash) on this site so anyone can confirm the archive has not been altered. Personal data in the snapshot is never published.
- You keep your own printable certificate and downloadable record copy.
5. How long we keep it
Your record is kept for as long as the registry operates, because preserving it is the purpose of the service, unless you ask us to delete it. Contact messages are kept up to 3 years. Payment records are kept as required for tax law.
6. Your rights
You can ask to see, correct, download or delete your data at any time by contacting us from the email you registered with. Depending on where you live (for example the EU, UK or California) you may have additional rights, including the right to complain to your local data protection authority.
7. International users
We are based in the United States, and your information will be stored and processed in the United States.
8. Children
The service is only for adults 18 and over. We do not knowingly collect children's data.
